AI receptionist vs answering service vs in-house front desk: what fits a trades business

By Goldenhour Solutions LLC ·

An HVAC, plumbing, electrical, or roofing owner who cannot get to the phone has three ways to cover it: an in-house front desk, a live answering service, or an AI receptionist. This page compares those options for shops across the United States. Sunny is an AI receptionist, not a person.

What are you comparing?

A trades owner is choosing who picks up when the shop cannot. The three options are a person on your payroll, a person at a live answering service, and Sunny, an AI receptionist.

Goldenhour Solutions LLC is based in Phoenix, Arizona, and serves HVAC, plumbing, electrical, and roofing companies across the United States. The same product limits are on the FAQ and in what an AI receptionist can and cannot do. Callers are talking to an AI. It collects a preferred time and you confirm the appointment. Google Calendar is not synced. A missed call does not send an automatic text.

The same six questions, answered for each option. Goldenhour cells use only prices and limits already published on this site. Wage and answering-service prices are not printed here.

Who answers the phone?

An in-house front desk is a person you employ, and a live answering service is a person at that service. Sunny is an AI receptionist, not a person, and callers are talking to an AI.

On the Full Package, an AI voice picks up. It takes the caller's name, callback number, address, and what they need, and it collects a preferred time. The Full Package is the plan that answers the phone and the texts.

The same limit is on each trade page: HVAC, plumbing, electrical, and roofing. The hub for those pages is the AI receptionist overview.

Which hours does each option cover?

An in-house desk covers the hours you staff, and a live answering service covers the hours in the contract you sign. On the Full Package, the phone gets answered 24/7 by an AI, nights and weekends included.

That after-hours line is the published description of the Full Package. The allowance is 300 call minutes and 1,000 texts a month.

Ask an answering service which hours the quote covers. Ask yourself which hours an in-house person will be scheduled to work. This page does not invent those hours for either one.

What happens to after-hours calls?

After hours, an in-house desk answers only if someone is scheduled, and an answering service answers only if those hours are in the contract. On the Full Package, an AI voice answers after hours, on weekends, and while you are on the other line, and a missed call does not send an automatic text.

Sunny takes messages, answers common questions, and collects a preferred time. You confirm the appointment. On a no-heat call, a leak, a partial outage, or water coming in, Sunny asks what is happening, the address, a callback number, and a preferred time. It does not diagnose the equipment, price the job, promise a same-day truck, or send a crew. The owner decides how fast to call back.

If the call is outside what Sunny was set up to answer, it hands the conversation to you. For a fire, a gas smell, or a person who is hurt, the caller still needs emergency services. Sunny does not replace that call, and it does not send a truck.

A missed call does not send an automatic text. Calling (520) 602-8435 does not send a text, and calling that number does not opt you in. Texting on a client plan starts only after that client's own registration is approved. Texting from a ported number needs A2P registration on that number, and that number has to be added to your campaign messaging service. Until that registration is approved, the plan does not text your customers. You can hear the AI on that number before any of that.

If you want to see what unanswered calls and after-hours calls are worth in your own numbers, use the missed-call cost calculator and the after-hours call calculator. Those pages label their sources. They are not a promise that a plan recovers a difference.

Who confirms the appointment?

With Sunny, you confirm the appointment. Sunny collects a preferred time, Google Calendar is not synced, and Sunny does not lock a calendar booking.

Collecting a preferred time is the caller's request. It is not a locked job. Sunny does not write the appointment into a calendar or into other software. Your calendar stays the way you keep it. A calendar is not connected.

A person on your payroll can confirm an appointment when you have given them the schedule and the authority to book. A person at a live answering service can confirm one only when the script you sign says that is their job and they have a way to see open time. Ask who confirms, and ask what is saved when a calendar is not connected. With Sunny, you choose the time.

How does the cost of each option work?

An in-house desk is payroll, and a live answering service is the quote that vendor gives you. Goldenhour is a one-time setup fee plus a flat monthly price, and this page does not print a wage or an answering-service price.

Run those two numbers yourself on the front-desk cost calculator. It compares an in-house receptionist, a live answering service you price yourself, and the Goldenhour plans published on the homepage. Change the wage and the quote. The other free calculators are on the tools page.

These are the same prices as the homepage. Hosting, your domain, updates, and support are included. No contract. Cancel anytime.

New customers buy the Full Package. There is not a smaller plan and there is not an upgrade fee.

The month includes 300 call minutes and 1,000 texts. After that, voice is $1.00 a minute and texts are $0.06 each. A top-up of $50, $100, or $250 adds wallet balance for that overage.

How much setup does each option take?

Hiring a front desk means finding a person and training them, and an answering service means agreeing on a script and a contract. Goldenhour starts when you buy the Full Package and fill the one-time form, and the finished package is ready for review within about a week.

This page does not estimate how long a hire takes, and it does not estimate how long an answering service needs before it answers the first call. Ask that vendor, and ask who trains the person on your services, your hours, and what they may not promise.

You deal directly with the person who builds and runs your system — no account managers, no ticket queues, no maze of vendors. Buy the Full Package, fill the one-time form, and we build from those answers. You review the finished package before it goes live. It is ready for that review within about a week. Texting waits for your own registration approval. A call is not required.

The default on every plan is call forwarding. Goldenhour still assigns a number, and you forward busy and no-answer calls to it. You test that forwarding from your own phone. We do not place the test call. Moving your number is a port. Porting is available on the Full Package. It usually takes 1 to 4 weeks. A temporary Goldenhour number answers until the port finishes.

What should you ask any vendor before you sign?

Ask who answers, which hours are covered, what happens after hours, who confirms the appointment, how you are charged, and what setup takes. If the answer is fuzzy, the offer is fuzzy.

  1. Who answers: a person in your office, a person at a service, or an AI? If it is an AI, are callers told?
  2. Which hours are covered, and what happens to a call outside those hours?
  3. What happens to an after-hours call, a weekend call, and a call while you are already on the phone?
  4. Who confirms the appointment, the owner or the person or software that took the call?
  5. Is a calendar connected? If it is not, what does the product save?
  6. On an emergency call, does anyone get sent, or does it only take details for the owner?
  7. Does a missed call send an automatic text? When does texting start, and whose registration has to be approved first?
  8. Is the price payroll, a quote that can change with call volume, or a flat monthly fee plus a setup fee? Which plan, if any, actually answers the phone?
  9. What happens when the call is outside what the answerer was set up to handle?
  10. How long is setup, who do you talk to, and can you cancel?

The answers for Sunny are the ones already on this page and on the FAQ. You confirm the appointment. Google Calendar is not synced. A missed call does not send an automatic text. Texting on a client plan starts only after that client's own registration is approved. There is no contract. Cancel anytime.

Which option fits a solo owner who is on the job?

A solo owner on a roof, under a sink, in a panel, or on a driveway has no one in an office to pick up. An in-house desk means hiring someone, an answering service covers the hours in its contract, and on the Full Package, an AI voice answers while you are on the other line.

That AI voice takes the message, answers common questions it was set up to answer, and collects a preferred time. You confirm the appointment. Sunny does not send a truck, and it does not promise a same-day visit. The Full Package is the plan where Sunny answers the phone and the texts.

If the work is HVAC, plumbing, electrical, or roofing, start with the matching page: HVAC, plumbing, electrical, or roofing.

Which option fits a small office?

A small office can pick up during the hours someone is there. The gap is the call that arrives while that person is with a customer, already on the phone, or gone for the day.

During staffed hours, a person in the office can confirm an appointment if you have given them that job. After those hours, you are back to the same three choices. The Goldenhour default is call forwarding. You forward busy and no-answer calls to the number Goldenhour assigns. On the Full Package, an AI voice picks up those calls, takes a message, and collects a preferred time. You still confirm the appointment. Google Calendar is not synced, so the office calendar stays the one you already keep.

Which option fits a shop with high call volume?

High call volume means looking at how many calls each option can take. An in-house desk needs enough people on the schedule, an answering service needs a quote sized to that volume, and the Full Package includes 300 call minutes and 1,000 texts a month.

The Full Package is $249/month with a $1,997 setup. The allowance is 300 call minutes and 1,000 texts a month. After that, voice is $1.00 a minute and texts are $0.06 each. Top-ups are $50, $100, or $250.

Price the in-house payroll and the answering-service quote on the front-desk cost calculator before you treat either quote as the cost. This page does not supply those figures. The Full Package is the voice plan.

Try the AI before you buy. Call the AI. That call does not send a text. Then buy the Full Package and fill the one-time setup form. A call is optional. If you want one, book a call. The intake form comes first for that call. A time is held only after that form is in, and Alexander confirms it.
